GENERAL RULES


1.     AWARDS YEAR: January 1 to December 31.
      This applies to all entries except the Club Yearbook Award (G-2), the District Yearbook Award (G-3), and the Club Program Award (G-8), which are based on the club year.

2.      ELIGIBILITY: CGCI garden clubs, associate plant societies, affiliates (in good standing), and districts are eligible to apply. Individual club members may apply as stated in the award description.
3.      APPLICATION FORMS: Each entry requires a current CGCI Award Application Form unless otherwise stated under the award description. Download an application from the CGCI website at;

or contact your District Director or CGCI Awards Chairman for copies.
4.     EVALUATION FORMS: A separate Evaluation Form is used by the judges to score each entry. Please refer to the scale of points on the award Evaluation Form as a guide to know what the judges will be looking for when making your book of evidence. Download the Evaluation Form for your award category from the CGCI website at;

5.   WHAT AND WHERE TO SEND: Submit a book of evidence for all entries unless the award description states, “No Book of Evidence Required.”  Mail to the chairman whose name and address is listed in the award description for the award that is being sought. 

6.   DEADLINES:  Failure to meet the deadline may disqualify entries or result in point deduction.

7.      BOOK OF EVIDENCE: A compilation of pages explaining how the project was accomplished. It should be brief, neat and concise.  No handwritten text.
      NOTE: In this Manual, “Book of Evidence” is often abbreviated as
            “B. of E.”
      Binder:  Do not use 3-ring notebooks/binders. They are bulky, hard to mail and get out of line easily. Use pronged binders with a soft or hard cover. (Beware! Slick binders do not hold glues).
      Paper Size:  Letter-size (8 ½" x 11"). Use a maximum of 6 sheets (12 pages) or as specified in the award description. Exceptions: Publicity Press Book Award (PR-1) has no limit to number of pages; California Flower Show Awards and NGC Flower Show Achievement Awards have a maximum of 10 sheets (20 pages).
      Label:  Affix to front cover with name of award, the award number and section if any (example; PR-2, Sec 2 Class 1), name of club, number of club members, and district.
      (NOTE: Make sure the number of clubs members listed is the same as the number of members for which the club has submitted dues to CGCI.)
      Application Form:  Complete the CGCI application form and insert it in the sheet protector as page one (1) of your book of evidence. Include a brief summary of your entry on the application form.
      Evaluation Form:  Obtain the appropriate evaluation form from the CGCI website and place it in an envelope affixed inside the back cover of the folder. Judges will evaluate your entry using this form.
      Use Clear Plastic Page Protectors:  Each page protector will display two pages; one showing front and one showing back. (This can be two sides of 1 sheet or two separate sheets of paper.)
     General Book of Evidence Requirements:
         Page 1 is to be the CGCI Application form. Make sure it is complete!
         Data:  The pages after page 1 should include a project report if required, plus other evidence that fits the award description, e.g. photographs, publicity, financial report, letters of appreciation etc. (Newsletters qualify as publicity).
         Other: Loose material (handouts etc.) should be affixed to a page inside a page protector. Number the pages.
         Photographs: Digital and film photographs accepted. Photographs must be captioned.

8.       RETURN OF ENTRIES: All entries will be displayed at convention.
      District directors must claim all entries from their district’s clubs at close of convention. The Awards Committee is not responsible for unclaimed entries.
9.      PRESENTATION OF AWARDS: CGCI annual convention.
10.      CASH AWARDS: Money from sponsors must be on deposit with CGCI by July 15 one year in advance (bill is sent in June). Mail checks, payable to CGCI, to the Awards Finances Chairman.
11.      INDIVIDUAL AWARDS: Awards stating “to an individual club member,” will be credited to the member’s club for Sweepstakes consideration. Both individual and club names will be on the certificate. Checks will be made payable to the individual.
12.      NON-CONFORMANCE: The Awards Chairman, Awards Committee and/or judges reserve the right to determine if an entry qualifies for the stated award. An entry judged to not conform in the category entered may be re-entered in a different category at the best discretion of the Awards Chairman.
13.      NO AWARD: Judges reserve the right to withhold an award if it is determined that no entry is worthy.
14.      CHANGES to the awards program after publication of the CGCI Yearbook or Awards Manual will be published in Golden Gardens andon the CGCI website at www.CaliforniaGardenClubs.org/Awards.htm .
15.      NATIONAL GARDEN CLUBS, INC awards: For information about the national awards program offered by NGC, please see the NGC Awards Manual available online or from the CGCI Awards Chairman. An overview with a listing of similar CGCI awards can be found at the end of this manual in Appendix A.
16.      PACIFIC REGION of NATIONAL GARDEN CLUBS, INC. awards: For information about the regional awards program offered by NGC’s Pacific Region, please see the Pacific Region Awards Manual available online or from the CGCI Awards Chairman. An overview with a listing of similar CGCI awards can be found at the end of this manual in Appendix C.

Please note:
If you are planning a flower show and hoping to enter your show for a prestigious “Flower Show Achievement” award, please make sure the show is PRE-registered with the CGCI Flower Show Awards Chairman, Barbara Stevens.

Flower Show Achievement awards can be awarded only to flower shows that receive a minimum point score by an evaluating panel of judges.  (90-94 points for a CGCI California Flower Show Achievement Award  [#FS-1A]  or 95 or more points for the NGC Standard Flower Show Achievement Awards [old #FS-1b]) To have an evaluation panel assigned, your show MUST BE PRE-REGISTERED WITH THE FS AWARDS CHAIRMAN.

To do so, please inform the CGCI Flower Show Awards chairman of the date, theme and location of the show along with a list of judges with addresses well in advance of the show. The list of judges may be sent up to two weeks prior to show. The Flower Show Awards Chairman will then assign an Evaluation Panel from this list of judges you supply. This is the ONLY way a show can be evaluated for eligibility.

BOOK OF EVIDENCE:  Use a pronged binder, any color, to hold letter-size paper (8 1/2" x 11"). Maximum of 10 sheets (20 sides). They may be reduced in size, if desired, to permit additional information on same page. Be brief, neat, concise; material to be securely attached to pages which are to be in clear plastic page protectors. No handwritten text. Photographs must be captioned. Place schedule in envelope affixed inside back cover. No decorations, e.g. "decorative stick-ons."
